How to Add a Watermark to a PDF

A watermark can identify a draft, mark a document as confidential, show ownership, or place a company logo on every page. The difficult part is not drawing a word over a page. It is making the mark readable without hiding the document, applying it consistently to mixed page sizes, and knowing what the edit changes inside the PDF.

Choose the right kind of watermark

A text watermark is usually the clearest choice for workflow labels such as “DRAFT,” “CONFIDENTIAL,” “COPY,” or a short project name. Keep it short. A large word at low opacity is often less distracting than a small, dark sentence. The tool supports Unicode fonts for Latin, Greek, Cyrillic, Arabic, and Devanagari text, so the mark does not have to be limited to basic English characters.

An image watermark works well for a logo or seal. Use a clean PNG when transparency matters and JPG for an opaque photographic mark. Before embedding the image, the browser decodes and re-encodes it locally. This removes EXIF, GPS, and XMP data that may have been attached to the original image. The process does not send the image to a remote conversion service.

The first version supports one watermark layer above the existing page content. It does not create an underlay and does not combine several independently positioned marks in one run. If the same design must appear in several places, use the repeat option.

Step-by-step: add a watermark

1. Open Add Watermark to PDF and choose a PDF up to 50 MB and 1,000 pages.
2. If the document is protected, enter its password. The password remains in memory for the active tab and is not stored in local storage or analytics.
3. Choose Text or Image. For text, enter 1–200 characters and choose the font size and color. For an image, choose a JPG or PNG up to 10 MB and 32 megapixels.
4. Set opacity, rotation, one of nine positions, and optional horizontal or vertical offsets. Enable repetition only when the mark should cover the page rather than occupy one location.
5. Choose all pages, odd pages, even pages, or enter a range such as 1-3,5,8-10.
6. Review the preview, generate the result, and download the new PDF. Check pages with different sizes and orientations before sharing it.

Position, rotation, and opacity

PDF pages use points and a bottom-left coordinate origin internally. A page may also carry its own rotation. The preview translates the chosen settings to the page coordinate system, and the exporter applies the same geometry to each target page. This matters when a file mixes portrait, landscape, A4, Letter, or custom page sizes.

For a quiet ownership mark, start near 15–25% opacity. A confidential status mark may need more contrast, but it should not make body text difficult to read. A rotation around −45 degrees is familiar for a centered status mark. Logos are usually easier to scan in a corner with no rotation. Use offsets to avoid a heading, signature block, page number, or important figure.

A repeated watermark deliberately covers more of the page and can make later editing less convenient. It is not a security boundary: PDF content beneath a watermark may still be extractable, and a determined editor may be able to remove newly added objects. Use Protect PDF when access control is also required, while remembering that password permissions are not a substitute for a legal or operational confidentiality process.

Protected and digitally signed PDFs

After a protected PDF is opened with the correct password, adding a watermark necessarily modifies it. By default, HatchMyPDF rebuilds password protection on the result with AES-256 and the same password. If re-encryption fails, the tool does not offer the unprotected intermediate file. Some original permission flags may change because the encryption dictionary is rebuilt.

Any modification invalidates an existing digital signature. The visual signature may remain on the page, but the cryptographic validation will report that the document changed after signing. Watermark an unsigned working copy, then run the organization’s signing process again if a valid signature is required.

Troubleshooting

The watermark covers important content

Lower the opacity, reduce the size, move the mark to another of the nine positions, or add an offset. Check more than the first page when the document contains different templates. A repeated watermark is intentionally more intrusive, so disable it for ordinary branding.

Some characters do not appear as expected

Keep one main writing system in a single watermark when possible. The tool automatically chooses a bundled Noto font for Arabic or Devanagari text and uses Noto Sans for Latin, Greek, and Cyrillic. Highly specialized symbols may not exist in those fonts.

The logo looks soft

The selected scale is a percentage of page width. Start with a source image large enough for the intended printed size, but stay below the 32-megapixel limit. Re-encoding strips metadata; it does not invent detail that is absent from a small source image.
